Make the load identifiable
Give the supplier the load's documented mass, dimensions and packaging. Explain how it will be supported and where it must be picked up and placed. Do not assume all pallets behave alike or that a nominal capacity applies at every reach. Ask the supplier to nominate a configuration and have the competent person responsible for the operation confirm suitability against the applicable load chart.
Include the attachment in the enquiry
Forks, buckets, jibs and other attachments change the machine configuration. State the intended attachment, its purpose and whether you expect the hire company to supply it. Request confirmation that the proposed combination is approved and that the relevant instructions and capacity information will be available at handover. A general telehandler booking leaves too much unresolved when the task depends on a specialised attachment.
Describe the whole movement
Mark the unloading area, travel route and final placement point. Provide gradients, surface conditions, access restrictions and information about other site traffic. Where material handling feeds another operation, schedule delivery slots so the telehandler is not expected in two places at once. Ask who coordinates suppliers arriving outside their nominated window and whether waiting charges apply.
Compare support as well as hire
Confirm operator arrangements, familiarisation, refuelling and how breakdowns are reported. Keep any replacement proposal subject to the same task and configuration check as the original machine. Include freight, attachments and minimum hire in the comparison. Before off-hire, reconcile attachment serial numbers and record condition so the return covers the whole package, not just the carrier.
Put it into a practical brief
For placing packaged building materials, send the documented package details and a drawing showing pickup and placement positions. Ask the supplier to identify a suitable machine-and-attachment combination for assessment. If material deliveries arrive in different packaging or weights, update the brief before using the original recommendation. Confirm whether the unit must travel between unloading areas and whether the route changes during the job. Keep capacity information and the approved configuration with the booking so the site team can review any proposed substitution against the actual task.
