Gather the load information
Obtain the documented load mass, dimensions and lifting information from the responsible source. Identify any uncertainty rather than estimating it as a fact. Include photographs or drawings showing pickup and landing positions. Ask the supplier what additional information is needed for its assessment and who will prepare and approve the lift plan. A booking request is a starting point, not an engineered lifting instruction.
Show the site constraints
Provide a plan of access, the proposed standing area, adjacent structures and overhead or underground services. Explain whether the crane must work from a public road, shared yard or restricted site. Have the responsible site team establish ground information and permissions. Do not select crane capacity from load mass alone: configuration, radius and the lift geometry need a competent assessment.
Make the supplied scope explicit
Ask which crew, rigging, transport, setup, permits and supporting services are included in the quotation and which are separate. Identify who coordinates traffic management and who receives the load. If several contractors are involved, give each the same sequence and contact list. This reduces the chance that everyone assumes another party has arranged a critical service.
Price the window, not just the lift
Discuss arrival, setup, lifting, pack-down and departure. Ask how minimum hours, waiting, weather interruption and changed timing are charged. Confirm who can authorise a programme change and how the supplier will acknowledge it. Keep the final scope and technical correspondence with the purchase order so a later revision can be assessed without reconstructing the original conversation.
Put it into a practical brief
For a delivery that needs a crane to place a prefabricated item, connect the manufacturer, carrier and crane supplier before fixing the arrival time. Provide the documented load information and ask who confirms readiness for lifting. Record any dependency on road access, an available standing area or another trade finishing first. If the load arrives late, the agreed waiting and rebooking terms become relevant even when the lift itself is brief. Use one version of the programme so the transport and lifting teams are planning the same handoff.
