Define the material stream
Describe the expected material and how its condition will be established. Soil, rock, vegetation and mixed demolition material may require different handling and receiving arrangements. Do not assume the truck supplier has included disposal or that a nearby facility will accept the load. Ask who confirms acceptance, books the receiving window and supplies any required classification or documentation before haulage starts.
Work backwards from the receiving point
Record the destination, travel time assumptions, opening hours and likely turnaround. Ask the transport supplier to nominate suitable vehicles for the material and access rather than converting an excavated volume into a payload yourself. Loading, queuing and unloading all consume time. A longer trip can make a second vehicle useful, but its value depends on whether the excavator and the site can keep the cycle moving.
Make room for the handoff
Show where trucks enter, wait, load and leave. Explain whether they must reverse, whether other trades share the route and whether there is space for a temporary stockpile. Assign the site team responsibility for coordinating the loading interface. An excavator quote and a truck quote can each look complete while leaving nobody responsible for the point where the two operations meet.
Price delays explicitly
Ask how waiting time, failed deliveries, rejected loads and programme changes are charged. Separate excavator hire, haulage and disposal so the effect of a changed assumption is visible. Keep load records and supplier acknowledgements together with the job brief. At the end of each shift, compare material removed with the remaining scope before extending either booking.
Put it into a practical brief
For a driveway excavation, show where the excavator will stand and where each truck can load without blocking the next arrival. Ask the excavation and transport suppliers to agree who communicates when a load is ready. If the receiving facility has an earlier closing time than the site, use that constraint to plan the final load. Record who decides whether remaining spoil stays in a stockpile overnight. This makes a delay visible before it turns into an unplanned extra hire day for both machines and trucks.
