Start with the specification
Give the supplier the material description, area, proposed layer thickness and the project's acceptance requirements. Ask the responsible designer or testing provider to clarify anything missing. Hire staff can explain their equipment, but the booking should not be used to invent a compaction specification. Record whether the work is a trench reinstatement, pavement layer, building platform or landscape finish, because these have different constraints.
Describe edges and confined areas
Provide working width, slope information, obstructions and nearby structures. The largest available roller may leave edges or narrow sections requiring a different machine. Ask whether a plate compactor, rammer or smaller roller should be included for those areas. Make the division of work explicit so the operator knows which parts of the surface each unit is intended to cover.
Coordinate material and testing
A compactor waiting for fill, water or a test result is still part of the hire programme. Align material deliveries, spreading plant and inspection hold points before choosing the hire duration. Ask how extensions are handled if acceptance is delayed. Where moisture conditioning is specified, establish who supplies the water and how that work fits with the rest of the fleet.
Close the job with evidence
Keep equipment identification, supplier instructions and the agreed configuration with the work records. Record test results through the project's normal process rather than treating a particular number of passes as proof of acceptance. When comparing offers, include delivery, minimum hire, fuel and any separate equipment needed at edges. Return the machine under the supplier's cleaning and collection requirements.
Put it into a practical brief
For a trench reinstatement, supply the specified material and dimensions together with a drawing of the confined sections. Ask for separate equipment recommendations for the open area and the narrow sections rather than requesting one roller for the whole job. Confirm when material will be ready and who arranges testing before the next layer proceeds. If a result requires further work, discuss the equipment extension before the original collection slot.
