Name the required configuration
State the equipment class, capacity, critical dimensions, attachments and hire model. Give suppliers permission to propose an equivalent, but require them to identify how it differs from the requested configuration.
Anchor the answer in time and place
Provide the site, delivery window, expected duration and working pattern. Ask where the proposed machine is currently based and whether another booking, service event or transport dependency could affect arrival.
Confirm again before mobilisation
Availability changes quickly. Reconfirm the allocated unit, transport, site contact and delivery window before the movement starts. For critical work, agree what substitute or recovery process applies if the planned machine becomes unavailable.
