Show where the task happens
Describe the actual work point and any obstacle between it and the machine's standing position. Include horizontal reach, whether the work extends along a facade and what has to be carried on the platform. Ask the supplier to distinguish working height from platform height in the offer. Avoid choosing a unit from a height number without confirming its operating envelope for the proposed task.
Separate entry from operation
Provide door dimensions, ramps, corners and any floor or ground constraints along the access route. Then describe the working area separately. A machine may pass through a door but require more room to operate. Ask the site team to confirm surface suitability and any loading restrictions. The supplier should identify the specific configuration and manufacturer limits that apply; a directory cannot determine these from a photograph.
Clarify the power and work pattern
For indoor or sensitive environments, ask the supplier which power options suit the location and how charging or refuelling will be managed. Explain shift duration, breaks and where the equipment can be parked. Include any building rules about noise, emissions or access times in the enquiry. Establish operator competency and site induction requirements through the responsible project team before booking.
Build the handover into the schedule
Nominate who receives the machine and its instructions, confirms the agreed unit and checks the condition record. Discuss emergency arrangements with competent site personnel and the supplier, rather than leaving that conversation until work starts. Compare transport, charging accessories, minimum hire and collection together. If the supplier substitutes a unit, repeat the reach, load and access check against the original brief.
Put it into a practical brief
For warehouse maintenance above a fixed rack, send the work height, the distance from the possible standing position and the items that will be carried. Include a photograph showing the route from the loading door to the rack. Ask the supplier to identify any reach or access assumptions requiring confirmation. If several work points are involved, mark each one; a machine suitable for the first location may not reach the second. Have the responsible site team review the operating arrangement before treating an equipment recommendation as a booking decision.
