Explain what is being moved
Describe the fluid, expected solids, source and how conditions may change during the job. Include the approximate quantity and required timeframe without presenting an uncertain estimate as a measured flow. Ask the supplier which additional measurements are needed to select the equipment. A pump suited to one fluid or duty may be unsuitable when the material or operating conditions change.
Show the route
Provide suction and discharge positions, vertical differences, hose distance and proposed bends or obstructions. Let the supplier assess the duty and hose package from those details. Include strainers, couplings and any supporting equipment in the quotation. Check who assembles the system and verifies it before use, particularly when hired equipment connects to a system already on site.
Settle discharge before mobilisation
Identify who has responsibility for confirming an appropriate discharge or receiving arrangement and any site approvals. Do not assume that water can be directed to a street drain or adjoining land. Treatment, storage or tankering may need to be arranged separately by the project team. State these dependencies in the programme so a delivered pump does not become a paid waiting asset.
Discuss supervision and failure
Tell the supplier if the system is expected to run unattended or outside normal hours. Ask about monitoring, maintenance, refuelling and replacement options for the proposed duty. Nominate who responds to a fault and how the site can be accessed. Keep the quoted duty with the hire record so changes in hose length, fluid or discharge point trigger a review.
Put it into a practical brief
For removing water from a work area, send a sketch with the source level, proposed pump position, discharge route and receiving arrangement. Explain whether the fluid conditions may change as the water level drops. Ask the supplier to nominate a system for that duty and identify the measurements still required. Confirm who monitors it and who can authorise changes. If the discharge point moves during the project, have the revised route assessed before extending hoses or treating the original performance expectation as unchanged.
